Who we are

roomXplore is a PG, hostel and co-living marketplace operated by BuildsInfinity Technologies, a sole proprietorship (Udyam Registration No. UDYAM-UP-28-0210008), Noida, Uttar Pradesh, India. The same business operates TrackMyPG, the property management software that powers roomXplore listings.

This policy covers people searching for a room on roomXplore (seekers) and property owners and managers who list on roomXplore (owners). TrackMyPG has its own policy for its customers and their tenants.

What we collect from seekers

  • Enquiry details you submit: name, phone number, email address, gender, occupation, budget, preferred move-in date and your message.
  • Saved listings, recent searches and your theme preference, stored in your own browser.
  • Technical data your browser sends (IP address, device and browser type, pages visited), used to keep the site secure.
  • Usage analytics, only if you choose “Accept analytics” in the cookie banner.

What we collect from owners

  • Account details: name, email address, phone number and business name, and a profile photo if you add one.
  • Listing details: property address, rooms, rent, deposit, amenities, rules and photos. These are published to seekers once approved.
  • Plan purchases: the plan, amount, date and payment reference. Card, bank and UPI details are entered with our payment partner, Razorpay, and are not stored by us.
  • Records of your acceptance of our terms and policies, with the date and the version accepted.
  • Technical data used to keep your account secure, such as sign-in times, devices and IP addresses.

Why we use it

We process seekers' enquiry details and owners' account details on the basis of the consent given when submitting an enquiry or signing up, and for the legitimate uses the DPDP Act allows (such as complying with law). We do not sell personal data and do not use it for third-party advertising.

  • To pass a seeker's enquiry to the owner they chose, so the owner can reply.
  • To publish and show listings, and to run the owner dashboard.
  • To take plan payments, issue receipts and keep the records tax law requires.
  • To keep the platform secure and to detect spam, fraud and fake listings.
  • To understand in aggregate how the site is used (only with analytics consent).

Who receives it

  • The owner or manager of the property a seeker enquires about, limited to that enquiry. The owner then becomes responsible for how they use it.
  • Our payment partner (Razorpay), for plan payments.
  • Service providers that host, secure, store and deliver messages for the platform on our behalf, under confidentiality obligations.
  • Government authorities or courts, where the law requires us to disclose information.

How long we keep it

  • Enquiries that do not lead to a stay: personal details are removed two years after the last activity on the enquiry.
  • Owner accounts and listings: for as long as the account is active, and removed after the account is deleted, except as below.
  • Payment and receipt records: eight years, as Indian tax law requires.
  • Security and access logs: one year.
  • Records of acceptance of our terms and policies: for as long as the account or enquiry they relate to is kept.

Your rights

  • Get a summary of the personal data we hold about you and who we have shared it with.
  • Have inaccurate or incomplete data corrected, and data we no longer need erased, unless the law requires us to keep it.
  • Withdraw your consent at any time, as easily as you gave it. Withdrawal does not affect what was done before it, and we may then be unable to provide the service that depended on it.
  • Nominate another person to exercise your rights if you die or become unable to.
  • Have your grievance answered by us, and if it is not resolved, complain to the Data Protection Board of India.

Security

We protect personal data with reasonable security safeguards, including encryption of sensitive fields, access controls and monitoring. If a personal data breach affects you, we will tell you and the Data Protection Board as the law requires.

Children

roomXplore is not meant for anyone under 18, and we do not knowingly collect their personal data. If you believe someone under 18 has given us personal data, contact us and we will remove it.

Changes to this policy

The date at the top is the current version. If we make a material change, we will tell owners in their dashboard and ask them to accept it again.
